Privacy Policy

Your content remains private. VidCaption is built so your uploaded videos are processed securely and removed from our systems as soon as captions are ready—we do not keep your original video files.
1. Introduction
This Privacy Policy explains how VidCaption ("we," "us," or "our") collects, uses, and protects information when you use our website and caption service. We want you to understand what happens to your files and account data in plain language.
By using VidCaption, you agree to this policy. If you do not agree, please do not use the service.
2. Information We Collect
We collect only what we need to run the product:
- Account details. If you sign in, we receive basic profile information from our sign-in provider (such as your email address and name), plus an account identifier needed to keep your session secure.
- Files you upload. When you upload a video or audio file to generate captions, we receive that file only for processing described below—not for permanent storage.
- Usage tied to your plan. We may record minimal operational data (for example, credits or usage tied to your subscription tier) so billing and limits work correctly.
- Technical logs (limited). Like many online services, our servers may create short-lived technical records needed for reliability and security (such as error diagnostics). These are not used for advertising profiles.
3. How We Use Information
We use information only to operate VidCaption: to authenticate you, generate captions from your uploads, maintain your account and plan, improve reliability, respond to support requests, and meet legal obligations where required.
We do not sell your personal information. We do not share your data with third parties for their marketing purposes.
4. File Processing & Storage
We do not store your videos. When you upload a video to generate captions, VidCaption temporarily processes the file only to extract the audio needed for transcription. Your video file is not kept as an archive on our systems.
Automatic deletion. Uploaded video files are automatically deleted immediately after processing is complete. They are not retained for replay, training, or resale.
If you upload audio directly (instead of video), that file is also handled only for caption generation and is removed according to the same retention practices described in Data Retention below.
Caption text and exports you choose to download are under your control once delivered; our goal is to minimize what we keep on our servers after the job finishes.
5. Data Retention
Uploaded media used only for processing is deleted promptly after processing, as stated above. Account-related records (such as sign-in identifiers or billing-related fields required by your plan) may be kept only as long as needed to provide the service, comply with law, or resolve disputes.
When data is no longer needed for those purposes, we delete or anonymize it where feasible.
6. Cookies
VidCaption may use cookies and similar technologies that are essential for the site to work—for example, to keep you signed in and protect against abuse. You can control cookies through your browser settings; disabling essential cookies may affect sign-in or core features.
7. Third-Party Services
We rely on a small number of trusted providers to deliver VidCaption—for example, secure sign-in, hosting, and processing related to captions. Those providers may process data only as instructed by us and under agreements that require appropriate safeguards. They do not use your content for marketing on our behalf.
8. Data Security
We take reasonable technical and organizational measures designed to protect information against unauthorized access, loss, or misuse. No online service can guarantee perfect security; if we become aware of an incident that affects you materially and requires notice under applicable law, we will address it in line with those requirements.
9. Your Rights
Depending on where you live, you may have rights to access, correct, delete, or restrict certain personal data, or to object to some types of processing. You may also have the right to lodge a complaint with a data protection authority.

10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. Continued use of VidCaption after changes means you accept the updated policy, unless applicable law requires a different process.
